DOCUMENT CONTROLLER/SITE ADMINISTRATOR
Office: Leeds - Yorkshire projects
The Opportunity
Our client, who is an outstanding national construction business, is looking to add a Document Controller/Site Administrator to its team in the Yorkshire and North East region. You will be working within a culture of empowerment, personal development, and business excellence.
The Role
To provide a first-class service in Site Administration / Document Control coverage for the Project / Site Team requirements. You will go above and beyond to ensure that all work requirements are met.
Self-motivation is required to ensure deadlines are met and any specific request from the Project / Site Managers are met.
DOCUMENT CONTROL TASKS
- Access request completion for new people / subcontractors to viewpoint 4Projects and what security groups they need to be part of.
- Data Check Drawings issued from the Consultants / Subcontractors in viewpoint / 4P and push through for the designated workflow as per the status.
- Print Civil, Structural, Architectural Drawings (A0, A1 & A2 Scale) also create a working copy of the drawings in A3.
- Set up of the Site Document Area to accommodate the project files.
- Create and Update the Document Distribution Matrix for who gets specific documentation issued under transmittal from viewpoint electronically.
- Each week create the Late / Overdue reports for drawings / RFI's that are past the date required, this is done from viewpoint and issued to the design manager for chasing up.
- Site training of viewpoint / 4P to be given to new starters.
- Upload and manage any progress photographs of the site activities.
- Liaise with the Divisional Document Controller on any specific requests that maybe unusual.
- Drawings to be uploaded to SharePoint for working in collaboration with Plan Grid the QA software tool / or Field View.
- Coverage of other projects in the division of YNE
ADMINISTRATOR TASKS
- Assist with the induction of new starters, Bio site.
- Filtering telephone calls ensuring all messages are recorded promptly.
- Booking meeting rooms and arrange provision of refreshments.
- Taking of Meeting Minutes (as and when required).
- Upkeep of Holiday chart and Absence Management
- Filing / Photocopying / Scanning / Adhoc
- Supporting the Project Manager / Site Manager / Site Team.
- Ordering Stationary / Site Refreshments.
- Liaison between the Regional Offices
- General Administration Tasks - Site Deliveries Coordination / Outgoing / Incoming Post.
The Person
QUALIFICATIONS & EXPERIENCE
- Extensive Experience in a Similar Role / Site Based
- Proficient in MSO365, Viewpoint (4Projects), SharePoint, Plan Grid.
PERSONAL & PROFESSIONAL QUALITIES
- Good organisational skills.
- Good communication skills, written and oral (at all levels).
- Excellent telephone manner.
- Ability to work to tight deadlines.
- Ability to work under pressure.
- Ability to use initiative.
- A good team player to help anyone who needs assistance.
- Sense of humour and ability to motivate others.
- Good time keeping and if required to stay back be accommodating.
