Document Controller - BIM Experience
Summary of Position:
The BIM document controller is responsible for the timely, accurate and efficient preparation and management of documents. They control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments.
The BIM document controller works alongside the Design, Process, Planning and Production Departments, as well as external sub-contractors, to ensure information is effectively and efficiently delivered to internal departments, suppliers and clients.
The position plays a pivotal role in managing Engineering Change and will support the archiving / maintenance of structured data for 'as built' digital records from the BIM models and outputs.
Primary Responsibilities:
The Document Controller will be accountable for-
- Maintaining and enforcing standards within the CDE
- Enforcing Security and Permissions for Companies, Roles and Individuals
- Reporting non-compliance to relevant parties and the quality team
- Providing support to the 'Engineering Change' process and work alongside the Planning Department to ensure:
- design changes are introduced appropriately into Production
- a traceable and auditable trail of works information is retained
- Engaging with the Process and Production Departments to establish more efficient ways of delivering works information.
- Supporting the company drive to establish and then maintain ISO 9001 certification.
- Supporting the construction of a fully digital system of works information delivery to Production.
The Document Controller will be responsible for-
· Project Activities
- Creating new project directories from templates in BIM 360
- Consulting with the Project Information Manager to agree and create any project specific folders
- Archiving and managing completed projects
· Compliance Activities
- Ensuring files are in-line with the Task Information Delivery Plans (TIDP)
- Enforcing Naming Standards
- Enforcing correct revision sequencing
- Enforcing appropriate use of ISO 19650 suitability codes within document meta data
- Enforcing suitable descriptions are applied to files
- Checking for completeness of drawing sheet title block information
- Rejecting information not in accordance with the project standards
- Escalating non-compliance to relevant parties and the quality team
· User Management Activities
- Receiving and verifying requests to add/edit/remove users
- Checking Supplier Capability Assessments for new companies/users
- Defining new or assigning existing role types and considering security permissions
- Ensuring visibility of appropriate projects, folders and subfolders
- Inducting new companies/users into the system and maintaining a log of all trained individuals along with date of training.
· Information Distribution
- Receive instruction from the Project Delivery Manager relating to the distribution of information
- Defining new approval and distribution workflows within the CDE where required
- Ensuring distribution channels are correctly configured at a project level
- Updating and maintaining distribution channel
- Escalating non-compliance to relevant parties and the quality team
Qualifications & Experience:
There are no formal qualifications that are required to become a document controller, however the following are required;
- Knowledge and experience of BIM 360 and Autodesk Vault.
- Awareness/experience with any other document control system.
- Strong IT skills in MS office including outlook, excel and word.
- Proficient typing skills
