Project Office Lead (Systems Manager)
Sheffield Office (with site visits when required)
Reports to: Regional MD
Direct reports: Trainee Document Controllers, Document Controllers

The Role:
The post holder will work with relevant staff to ensure business systems and procedures are set up at the earliest stages of the project lifecycle and ensure company standards are applied throughout the pre-construction / construction / handover phases, this forms the most important aspect of the role.
In addition, the post holder will be responsible for co-ordinating and delivering relevant training and guidance, both internal and external, in relation to Quality Management Systems, company intranet, SharePoint, BIM 360 Docs, BIM 360 Field and Smart Waste to all relevant personnel.
Additionally, monitoring of conformance with the Quality Management System will be conducted through regular internal quality audits as required by ISO 9001.
The fundamental tasks of the job are:
- Establish and manage the Project Common Data Environment (CDE), BIM 360 Docs
- Establish and manage the Construction Project Page on SharePoint
- Establish BIM 360 Field Platform
- Ensure company Information Management processes and procedures are implemented and followed on all projects
- Ensure the Project BIM, Design and Information Management Plans are completed by relevant role and distributed
- Co-ordinate the flow of information across the project team, between project pages and CDE sites
- Attendance at project meetings, workshops and similar associated with information management
- Where a Document Controller is not a dedicated resource on a project, agree with the PM roles and responsibilities to be delivered at a project level, supporting the Project Administrator
- Ensuring the incoming project team are aware of the project page, CDE and BIM 360 and if needed identify required training and arrange
- Liaise with and support project document controllers / project administrators to ensure proper utilisation of the Construction project pages, CDE and BIM 360 Field through review and audit
- Conduct internal quality audits on all projects to monitor conformance with MS, report audit findings and monitor the closing of findings
- Monitor the project close out process to ensure relevant documentation and meetings are being completed
- Ensure that project information is properly archived by the project document controller
- Manage, support and report on the use of information systems (BIM 360 Docs, company intranet/Share Point/RMS, BIM360 Field), both internally and externally (i.e. external Design Teams, Client, Sub-contractors). Organise / conduct training and access to these systems as required
- Assist the business with the introduction of other new systems as required
- Liaise with the Construction Group Business Improvement Team / Business Process Improvement Manager in regard to any issues and improvement recommendations
- At bid stage, assist the Bid Manager by ensuring that the parties responsible for relevant elements of the Pre-Contract Project Execution Plan are identified and that the elements are being progressed via the Project Page
- Attend and contribute to best practices and lessons learnt sessions as part of the Information Management forums
What, or how much, the job-holder is expected to achieve:
- To assist the business in compliance with Management Systems
- To manage and support the use of information systems (BIM360 Docs, Robertzone, BIM 360 Field) within the business
Required Skills and Experience
- Experience in the use of construction document control information systems. [Viewpoint/ Aconex / 4 Projects/ Asite]
- Working knowledge of use / deployment of business management systems and knowledge of ISO 9001.
- IT Literate, good knowledge in all Microsoft Office packages
- Able to work unsupervised whilst maintaining high standard of work
- Leading a team of Document Controllers - including managing and measuring performance (appraisals, absence management etc)
- Liaising with client and consultant teams on information management issues
- Excellent attention to detail
- Able to multi task and prioritise
- Good organising skills
- Excellent telephone manner
- Helpful and flexible approach
- Full driving licence
- Experience in use of BIM 360 Docs & Field
- Experience in using SharePoint
- Experience in developing procedures and guidance documentation to support information management
- Knowledge of Construction Design Management information procedures
