Document Controller & Project Administrator
Sheffield Office and Sites in the Yorkshire & East Midlands Region (as required)
Main Purpose of the Job
To provide administrative and document control support to project and office teams as indicated by the business, thus supporting the role of the Yorkshire and East Midlands Project Office Lead, by efficiently managing project information via the company CDE, BIM 360, and SharePoint.
Duties
- Provision of administrative support to site and office staff including typing, filing, photocopying, scanning etc
- Efficiently manage project information by ensuring all company policies and procedures are followed in line with the company Management System; this includes ensuring all project documentation is scanned, renamed and uploaded to relevant business systems and originals filed in site folders
- Carrying out internal audits on Project Site's paperwork to ensure compliance with company procedures
- Efficiently administer the Smartwaste system for projects, uploading and checking details
- Support Site Teams in the use of Coins for material and plant procurement purposes, with specific admin duties relating to Goods Received and ordering of site office materials
- Operate the project CDE, BIM360 Field and business Project Pages throughout the life of the project
- Contribute to managing access permissions to CDE, BIM360 Field and business Project Pages and support the Project Office Lead in identifying training needs relating to systems and procedures
- Assist in ensuring company Information Management and Design Management Procedures are implemented and followed, including attending relevant meetings with the Project Office Lead
- Populate with assistance from Design Managers, maintain and administer the project CDE Document Distribution and Work Package Distribution matrixes with direct input from the Project Team
- Company QC Check of all information uploaded to the CDE and liaising with client, consultant and subcontractor Document Controllers to ensure all parties are working to company Management Systems for Information Management
- Identify process bottlenecks and workflow issues within the project CDE by way of regular auditing of system. Problem solving of issues identified, resolving where able, and reporting issues to Project Office Lead for escalation to company Business Systems team where required
- Co-ordinate the information flow between the CDE, Project Pages and BIM360 Field, ensuring minimum standards of quality control are met
- Ensure all required project information for pre-construction, construction and handover is available in hard copy format (where applicable) in site files, appropriately uploaded to the relevant business system/s and that reports, and standard site paperwork are correctly presented, completed and/or returned by due date, monitoring compliance and reporting as required to Project Office Lead
- Support adequate and effective project handover, including appropriate documentation archiving, contributing to best practice and lessons learned and attending relevant meetings
- Deputise for other Site Administrator/Doc Controllers when required relating to maintenance of business systems

Qualifications Required
- GCSEs in English & Maths
