Site Administrator - Leeds
The Opportunity
This is an opportunity to join a £100m+ turnover, privately owned independent company offering a solutions-focused approach to developing, constructing, and operating accommodation-based schemes. These range from high rise residential, to care homes, luxury retirement living apartments and student accommodation. The role is for a Site Administrator to be based on a high profile central Leeds luxury apartment project.
The Role
Support and administer the registration and distribution of documentation between project team members, designers, supply chain and clients etc. Support and administer building maintenance emergencies as required within agreed customer service levels.
Provide administrative support to the wider project delivery teams
The role can either be site or office based within a defined geographical area, reporting into a Senior Design Manager. When site based, day to day reporting would be to the Project Delivery Team
Key Accountabilities

Administration and Support
Provide administrative guidance and support to the Operational site team, including. but not limited to the following: -
- Manage and support others with the flow of information between all stakeholders.
- Maintain and support others with the site copy of documents in hard and electronic format, as applicable.
- Accurate and efficient word processing of all correspondence and compiling reports as and when required.
- Diary management as required, including travel arrangements.
- Ensure associated paperwork is prepared and issued in advance for meetings.
- Ensure compliance with Company timetables and routines.
- Organise meetings with both internal and external customers and prepare meeting documentation.
- Attend meetings and take minutes where required. Issue accurate minutes to appropriate distribution list within agreed timetable.
- Provide presentation material as required.
- Maintain correct means of written communication in accordance with the Company templates and branding standards.
- Book travel and accommodation through in line with the Company's Travel Policy and provide a comprehensive travel itinerary for the traveller.
- Scan and log documents on the server and maintain an effective filing/archiving system.
- Effectively manage incoming/outgoing post including organising couriers.
- Ensure stationery stock levels in the office or on site are correct and order stationery within budget.
Customer Service
- Ensure excellent customer service is given in all communication with internal and external customers.
- Show flexibility and enthusiasm to provide any support that may be required in the office/site team to ensure that there is little disruption to customers. This may include providing reception cover.
- Ensure telephone calls are answered efficiently and professionally. Handle first hand queries within the scope of the role or take detailed messages and pass onto the relevant person.
- Facilitate the smooth running of meetings by ensuring refreshments are provided in time for meetings and replenished throughout.
- Keep the reception area tidy and welcoming, free from personal items in view of visitors.
- Greet visitors in a professional, friendly manner ensuring all signing in procedures are adhered to.
- Maintain accurate signing in/out system of staff and visitors to ensure records are correct at all times.
- Manage meeting room diaries in Microsoft Outlook.
Continuous Improvement
- Ensure compliance and adherence with all Company Management Systems policies, procedures, processes and tools applicable to role.
- Seek feedback and regularly review all administrative processes, to ensure ways of working are meeting or exceeding customer expectations.
- Challenge current processes and practices to ensure efficiency and professional standards are kept to the highest standards at all times.
Qualifications
- Ideally two years' experience in a similar role with a fast-paced environment
- Excellent IT Skills, MS Office knowledge - Word, Excel, PowerPoint
- Excellent with email and electronic diary management functionality (Outlook)
- Accurate typing and keyboard skills
