Office Manager / P.A. to Directors

Sheffield Office

The Opportunity

This is an opportunity to join the Yorkshire regional business of a well established national construction business that delivers construction projects for both the public and private sectors. Working closely with the directors of the business, you will manage the day to day running of the busy office, while offering P.A. support to the leadership team.

The Role

The main purpose of the role is to offer P.A. support to the Directors, combined with the general management of the of the regional office of a national construction business.

The duties of the role

Director Support

Provision of P.A. support to the Directors in areas such as, diary coordination and travel management, preparation and production of monthly board reports, and the production and updating of business information as required.

General Office Management

  • Office Management - responsible for the general day to day operation of the office including security, fire, communications and general building and facility management compliance (PAT testing etc)
  • Liaise with IT regarding regular servicing of copiers etc. and attend to any office equipment breakdown.
  • Ensure calls directed to the landline telephone number are answered promptly and professionally.
  • Management of sensitive information and documentation including appropriate certified destruction of documents
  • Attend to and make welcome any visitors to the office
  • Recruit suitable administration staff for sites/offices when required
  • Effectively manage administration function and administration team members
  • Ensuring all company administration procedures are followed and developed to ensure efficiency
  • Maintain safe working practices within the office environment and maintain the office safety file
  • Maintain the defects register for completed projects
  • Assisting with the organisation of social and corporate events
  • Update company directory and circulate to team members
  • Manage Meeting Room bookings
  • Coordinate diary appointments for monthly meetings, including CVR's, Health & Safety, Board Meetings etc.
  • Maintain office stationary supplies and other office supplies such as, tea/coffee, milk and fruit/biscuits etc
  • Book Hotels, Travel and meeting rooms as required. Also the hire of vehicles as required
  • IT

  • Coaching of staff in the use and implementation of company IT systems
  • Processing and auditing requests for IT capital expenditure
  • Disposal and or return of any obsolete IT equipment
  • HR

  • Managing holiday request, management of training calendars and sickness/absence recording
  • Assist with raising offers of employment, contract amendments and leavers.
  • Inducting new starters and delivering training and support on basic systems including People First, LMS, Sharepoint, etc.
  • Assist new starters with mandatory requirements
  • Coordinate mandatory and development training in line with company requirements
  • Co-ordination of expenses and mileage forms
  • The Person

    To be successful in this role, you will need to be a highly organised, proactive and flexible individual, with excellent communication skills. You will enjoy working in a fast paced environment and be a team player, able to work under presure.

    You will be approachable with a friendly nature.

    Microsoft Office skills are a must.
